Domestic Travel Terms and Conditions (Common to Subscription Type & Order-Taking Type Organized Tours)

These terms outline the travel conditions applied to domestic tours (Day Trip Subscription Type Organized Tours and Order-Taking Type Organized Tours) planned and implemented by Travel Linkage (hereinafter "the Company").

Detailed contract terms are based on these conditions, the content described on each tour page or estimate, and the Standard General Terms and Conditions for Travel Agency Business.

1. Types of Travel Contracts

(1) Subscription Type Organized Tour (Package Tour)

Tours for which the Company determines the itinerary, services, and price in advance.

The contract is concluded when the Company accepts the reservation and confirms receipt of the full tour price or the application fee (deposit) (upon completion of the settlement for online payments).

・Day Trips: In principle, full payment is required at the time of reservation.

・Multi-day Tours: The contract may be concluded upon payment of an application fee (e.g., 20% of the travel price), with the balance due by the specified date.

(2) Order-Taking Type Organized Tour

Travel plans created and proposed by the Company based on the customer's request.

The contract is concluded upon the customer's acceptance and payment of the application fee (or full amount) after the presentation of the plan (estimate).

For Order-Taking Type Organized Tour, a "Planning Fee" may be charged separately from the travel price.

2. Included in Travel Price

Generally includes the following (details are on each tour page or estimate):

  • Experience/Admission fees listed in the itinerary
  • Meals listed in the itinerary
  • Guide or Interpreter Guide fees (if applicable)
  • Transportation costs listed in the itinerary
  • Consumption tax and other taxes

*Additional charges may apply if a specific Foreign Language Interpreter Guide is requested.

3. Not Included in Travel Price

  • Transportation to/from the meeting/disbanding point
  • Fees stated as not included in individual tour conditions (Admission/Experience fees, Food & Drink, etc.)
  • Personal expenses (souvenirs, communication costs, additional food/drink)
  • Optional travel accident insurance
  • Medical expenses (due to injury or illness during travel)

4. Minimum Number of Participants (Subscription Type Organized Tour)

This applies mainly to Subscription Type Organized Tours. The minimum number of participants is stated on each tour page (e.g., 2 people).

If the minimum number is not reached, we will notify you of the cancellation no later than the 3rd day prior to the tour date (counting from the day before the tour start date) and refund the full amount.

5. Customization and Contract Classification Changes

If partial changes are made to the content of our existing package tours (such as change of date, addition of minor stopovers, etc.), the conditions of that tour will apply in principle.

However, if the schedule or content is significantly changed at the customer's request (fully customized), it will be handled as a "Order-Taking Type Organized Tour" with a new estimate and conditions.

6. Cancellation Policy

If you cancel the travel contract for your convenience, the following cancellation fees will apply.

(1) Cancellation Fees for Organized Tours with Accommodation (Applicable to multi-day tours)

(2) Cancellation Fees for Organized Tours (Day Trips) (Applicable to one-day tours)

Notwithstanding the Standard Policy below, the following Special Policy applies to private tours requiring individual arrangements for dining and guides (e.g., TCJ Series).

Important Notes:

  • Order-Taking Type Tours: Separate conditions (such as planning fees) may take precedence or be charged in addition to the fees above.
  • Cancellation deadlines are based on Japan Standard Time (JST).

7. Changes to Travel Content

The tour itinerary or content may be changed due to natural disasters, weather conditions, delays or suspension of transportation services, orders from public authorities, or other unavoidable circumstances.

If the travel price changes due to these modifications, the difference will be refunded or charged additionally.

Please note that the Company is not liable for any damages (such as alternative transportation costs) resulting from such changes to the content.

8. Guiding in English & Other Languages

We provide guiding in English (or other specified languages) to accommodate inbound customers.

*The fee for the National Government Licensed Guide Interpreter is included in the "Guide Dispatch Fee," which is a component of the total tour price.

* Some facilities may restrict interpretation or photography.

9. Customer Responsibilities

  • During the tour, please follow the instructions of our staff (guide) and facility managers.
  • If you are late for the meeting time, we may not be able to provide part of the service. No refunds will be made in this case.
  • Please participate in clothing and footwear suitable for the destination.

10. Company Liability and Force Majeure

In the event that the Company or its arrangement agents cause damage to the customer due to willful misconduct or negligence, we will compensate for such damages in accordance with the Standard General Terms and Conditions for Travel Agency Business.

However, we shall not be liable for damages arising from causes beyond the Company's control, such as customer negligence, loss of luggage, natural disasters.

We may change the itinerary due to natural disasters, traffic delays, or sudden facility closures/entry restrictions.

11. Travel Accident Insurance

Travel accident insurance is NOT included in the tour price unless otherwise stated.

We strongly recommend that you purchase travel accident insurance (specifically for inbound travelers) yourself to prepare for accidents or injuries.

12. Handling of Personal Information

Customer personal information is used for travel arrangements, communication, and safety management.

Credit card information entered during online payment is managed by payment service providers (such as Stripe, PayPal, etc.) and is not held by the Company at all.

13. Others

Matters not specified here are subject to the Company's Terms and Conditions (Standard General Terms and Conditions for Travel Agency Business).

Specific conditions for certain tours take precedence.

This table applies to Arranged Tour Contracts (acting as an agent/intermediary for arrangements based on your instructions) and Travel Consulting Service Contracts. It does not apply to Subscription Type Organized Tour Contracts or Order-Taking Type Organized Tour Contracts.
